Service time calculator

From the minutes and frequency an IEP states to a weekly total, the time scheduled in a period you choose, and the time held from your own count. Arithmetic on the IEP's numbers and yours.

Assumptions behind the numbers

  • The minutes, sessions and period come from the IEP's service statement, which must state the frequency, location and duration of each service (34 CFR 300.320(a)(7)).
  • The length of the stretch is your own count of school weeks or months from the school calendar. The calculator assumes no number of school weeks.
  • A monthly service stays monthly: the calculator does not convert it to a weekly figure, because months hold different numbers of school days.
  • Sessions held is your count, from the service log, the school's records or both. The result counts time; it does not say whether any time is owed. That question is settled in the processes in When you disagree.

Worked example

Fictional example

Arjun Natarajan, in Minnesota, has speech-language services of 30 minutes, twice a week. Priya, his mother, checks a stretch of 12 school weeks, counted on the school calendar, during which the speech-language position was vacant for part of the time. From her service log and the school's notes, 17 sessions were held.

  • Minutes per week: 30 × 2 = 60.
  • Scheduled in 12 weeks: 60 × 12 = 720 minutes, or 2 × 12 = 24 sessions.
  • Held: 17 × 30 = 510 minutes.
  • Scheduled minus held: 210 minutes, or 7 sessions.

Known: the IEP's minutes and frequency, Priya's count of weeks, and the sessions in her log. Assumed: that her log and the school's notes between them caught every session; the school's own service records settle that, and Priya has asked for them in writing. Open: whether any of the 210 minutes is owed, which is a question for the processes in When you disagree, not for the calculator. Her next step is a written question to the school, logged in the follow-through record.

Limits

The calculator multiplies and subtracts. It does not know your school calendar, whether a missed session was rescheduled, or whether a session that did not happen counts against the IEP (a student absence, a holiday or a school closure may be treated differently). It does not say whether any time is owed or must be made up; compensatory services are a legal remedy decided in the processes in When you disagree. Use the result to ask a clear question in writing (After the meeting).
